Custom Metadata fields can be used to store important information about your files and to assist in workflow management. You can create custom metadata fields according to the needs of your organization. There are three types of fields: a free text field, a single-value pick list, and a multiple-value pick list. They each have their uses, as illustrated below.
- Go to the Manage tab.
- Select Custom Meta Fields from the sidebar.
- Click the blue Add Custom Meta Field button in the top left corner.
- Choose a Name for your custom metadata field.
- Add a Description to provide more information for users about how the field can be used. (optional)
- Decide whether you want to have a controlled vocabulary field or a free text field.
Create a controlled vocabulary field
Controlled vocabulary fields allow you to preselect the entries that can be used to populate your field as data. This is useful when there are a limited number of relevant entries and you wish to restrict entries to just those choices. There are two options for different types of controlled vocabulary fields, single-value (when a user should select only one entry) and multiple-value (when a user should select all that apply). Both types are illustrated in the screenshots below.
- Type your entries into the Enter New Value... field, clicking Add after each one.
- Entries can be edited by clicking the blue pencil next to their name. Make changes and hit the return key to save.
- Entries can be deleted by clicking the trash can on the right-hand side of their name.
- Once you have added all your entries, decide whether you want this to be a Single-value or Multi-value field, and ensure the appropriate type has been selected from the value type list.
- Click the blue Create button in the bottom right corner.

Create a free text field
Free text fields are useful when you want to add information that cannot be constrained by a controlled vocabulary list, such as notes or other description.
- Select Free text input from the value type list.
- Click the blue Create button in the bottom right corner.
