The following is a list of some of the terms used in Mediagraph, with accompanying definitions.

Account - A term in Mediagraph that can be used to refer to two distinct subjects:
Your Organization’s Account (your Organization): The overall Mediagraph site, with a distinct URL, that encompasses all users, assets, settings, and organizational structures. This account represents your entire organization’s presence on the platform, including storage, metadata, content libraries, user roles, and permissions.
Your Account (your Membership): Your individual login and associated data within your Organization. This includes your personal settings, preferences, permissions, and any content or projects you are working on or have access to.
- Account Level - Mediagraph offers five different plans, each with a different set of features, capabilities, and available storage space: Essential, Essential AI, Enterprise, Integrated Enterprise and Agency.
- Admin - A global user role with elevated permission, allowing them access to all management functions and control over settings, users, and assets. Admins have access to all functionality, except the ability to delete an organization, which is reserved for the owner of that organization. There can be an unlimited number of admins at no additional cost.
- Asset - In Mediagraph, referring specifically to a digital asset: an entity that exists only in digital form and comes with a distinct usage right or distinct permission for use. Digital assets can include, but are not limited to, photographs, video, audio, digital documents, and any of the other types of file that Mediagraph supports. In cases where multiple iterative versions of a single file have been uploaded, multiple files may be part of a single asset.
- Asset Detail View (or Asset Modal) - A page which allows a user to fully view an asset, as well as any metadata associated with it. Double-clicking a thumbnail at any time will open the Asset Detail View.
- API (Application Programming Interface) - Tools provided by Mediagraph to allow third-party applications to integrate and interact with its functionalities.
- Auto Tagging - A Mediagraph feature which uses artificial intelligence to automatically apply keyword tags to images in bulk, making images lacking metadata more discoverable. Auto Tagging can be turned on and off at any time.
- AI Tools - Mediagraph's suite of Artificial Intelligence-driven features, which include: Facial Recognition, Video Transcription, Optical Character Recognition, Sensitive Content Detection, Auto Tagging, and Alt Text Generation.
B
- Batch Processing - The ability to perform actions on multiple assets simultaneously in Mediagraph. Batch processing occurs in the background, and is used for tasks like applying metadata tags, changing permissions, or moving assets between folders, saving time and effort when managing large sets of files.
- Bin - A bin is a type of subcontainer that can be used to further organize the contents of a Lightbox. Bins are contained inside of a Lightbox.
- Blue Light - A Mediagraph notification system allowing users to find and explore related content. When assets in the Workspace are selected, the counter beside any relevant container, filter, or metadata tag is illuminated in blue instantly.
- Branding - Customization options in Mediagraph that allow organizations to apply their visual identity, such as logos and colors, to their account's interface. Branding ensures that the Mediagraph environment is consistent with the organization’s identity.

- Collection - see Library Collections.
- Collection Tree - A tool for navigating the hierarchical structure of Library Collections and Subcollections in your Mediagraph account, allowing users to navigate through different levels of organization, and easily locate and manage related content.
- Color Labels - A visual labeling feature that assigns colors to values in a single-value Custom Meta field, helping you quickly understand an Asset’s status, priority, or place in a workflow.
- Container - Assets can be placed inside Storage Folders, Library Collections and/or Lightboxes. Each asset is stored in one and only one Storage Folder, but it can be added to an unlimited number of Collections or Lightboxes as well, without duplicating the file.
- Content Manager - see Global Content Manager.
- Controlled Vocabulary - A predefined list of terms used for tagging assets with custom metadata fields in Mediagraph. Controlled vocabulary ensures consistency in metadata application, improving the accuracy of searches and the organization of assets across the platform.
- Creator - a type of metadata tag that identifies the author or originator of a digital asset, essential for attributing content, managing rights, and organizing assets.
- Custom Metadata - Metadata tags added to assets accordin g to schema designed to meet an organization's specific requirements. Mediagraph supports single- and multi-value controlled vocabulary fields, free text fields, and date and time fields. A color value can be associated with a certain field.
D
- Date Created - One of two distinct metadata tags memorializing the date a file was created: the EXIF Creation Date or the IPTC Creation Date. EXIF data is recorded by the camera or scanner used to capture an image at the time of capture. Mediagraph tags creation date to the IPTC field, allowing a tagger to record a corrected or truncated creation date without overwriting the EXIF data. This is useful when adding dates to scanned images, for example.
- Drag and Drop Tagging - A feature allowing users to assign tags to files by dragging and dropping them onto predefined taxonomy categories, enabling efficient and accurate tagging of large volumes of files.
E
- Embedded Metadata - Metadata that exists in a file before it is uploaded to Mediagraph, including but not limited to in-camera photo metadata.
- Enterprise - A Mediagraph plan that allows for the partition and management of multiple departments within a single organization, each with its own distinct storage, set of users, and permissions.
- Entity View - A page showing all content related to a taxonomy item. Clicking a tag in the Tag Tree at any time will open the Entity View for that item, showing all related assets, as well as all related tags.
- Event - One of the types of Named Entity supported by Mediagraph, referring to a specific named event. An event tag can be applied to an asset, which can associate it with web links, date ranges and locations, and other related organizations or subjects.
- EXIF - A standard and structure according to which metadata is applied to image files.
F
- Faceted Search - A search method in Mediagraph that allows users to apply multiple filters search results according to various attributes or facets like date, creator, or rights package. Faceted search allows users to narrow down search results quickly and easily.
- Featured Collection - Collections of assets highlighted on the front page of Mediagraph for easy discovery, often categorized for different user groups or purposes.
- File Vault - A file management tool containing folders and subfolders visible only to the highest levels of admins and managers. Most users do not see or interact with Folders and the File Vault.
- Filter - A tool used to refine search results in Mediagraph by applying specific criteria, such as date, file type, or metadata tags, to narrow down the list of assets displayed. Mediagraph can show up to 25 types of filter in the Filter panel, allowing users to combine them to perform a faceted search. Many other filters are available as part of an advanced search.
- Folder - Found in the File Vault, Folders in Mediagraph function like conventional storage folders. Every file in the system lives in one and only one folder. Files can not be stored in the root folder.
- Free Text Field - A type of Custom Metadata field in Mediagraph that allows users to input any text, without predefined options or constraints. Free Text Fields are used to add custom, descriptive information to digital assets, such as detailed descriptions, notes, or any other relevant text that doesn’t fit into structured metadata categories.
- Front Page - A default landing page that can be added to all Mediagraph accounts. The front page can contain banner images, a logo, a title and subtitle, as well as an unlimited number of Featured Collections. The front page is responsive to User Group settings, and will only display assets that a user has access to.
G
- General Member - A logged-in user with basic access to your Mediagraph account, typically limited to viewing and interacting with assets that are part of an all-members or public collection, and assets they may have been given permissions for as part of a Group.
- Global Content Manager - An Admin-level role responsible for overseeing and managing all the content in your Mediagraph account, across all users, groups, and libraries. Content Managers have access to some management functions and the ability to see and manage the File Vault, including the ability to delete assets from the account.
- Global Library Manager - An Admin-level role responsible for managing and organizing all the libraries and collections in your Mediagraph account, ensuring content is properly categorized and accessible. Library Managers have access to some management functions, but cannot see or manage the File Vault.
- Global Tagger - A member role focusing on the creation, management, and application of tags and other metadata. Global Taggers can edit metadata across the account, but cannot edit any Collections or the Taxonomy. Global Taggers have no access to Management functions.
- Groups - Organizational units in your Mediagraph organization that allow users and assets to be segmented based on departments, teams, or specific projects, with permissions and settings tailored to each group.
- Group-based Management: A feature that allows management of the users and content in your Mediagraph account by creating Groups with partitioned storage, dedicated libraries, submission pipelines, group taxonomy, and group admins.
I
- Indexing - The process by which Mediagraph organizes and catalogs digital assets and their metadata to enable fast and accurate sorting, preview and search results. Indexing is continuously updated as new assets are added or modified, ensuring that users can quickly locate the content they need.
- Info Overlay - A feature in Mediagraph that displays key information about an asset, such as metadata or rights, directly overtop of the asset’s thumbnail or preview, providing quick access to essential details.
- Integrations - Connections between Mediagraph and external applications such as Adobe Creative Suite, Google Workspace, and others through APIs for seamless workflow integration.
- IPTC and IPTC Extended - A set of metadata standards used by Mediagraph to store and manage information about digital images. IPTC includes basic metadata fields, while IPTC Extended provides additional fields for more detailed data.
K
- Keyword - A type of metadata tag applied to assets in Mediagraph, used to describe content and make it easier to search for and organize digital assets.
L
- Library Collections - The hierarchical structure containing assets and subcollections, and the primary way content is made available in Mediagraph. Most users will see assets based on their presence in collections that have been made available to them by an admin or manager. Assets can be contained in multiple collections or no collections. A file cannot be uploaded directly to a collection.
- Library Manager - See Global Library Manager.
- Library Organizer - Library Organizers can be used to group Collections together to further organize top-level view. They cannot contain assets, only Collections.
- Lightbox Organizer - Lightbox Organizers can be used to group Lightboxes and Projects together to further organize top-level view. Assets cannot be added directly to a Lightbox Organizer
- Lightbox - The essential container of the My Projects panel, each one "owned" by the user who created it. Any user can add assets to a Lightbox according to their needs. Permissions can be conferred by one user to another by invitation to a Lightbox for sharing and collaboration.
- Logs - Records of user activities and system events across your Mediagraph account, used for auditing, tracking changes, and ensuring accountability.
M
- Manage Panel - The Manage Panel provides administrators and managers access to various administrative tools and features, such as user management, permissions, metadata schema, and site customization. The visibility of the tools in the Manage Panel is role-dependent, ensuring that admins and managers only have access to the settings relevant to their role.
- Manager - A general category of Mediagraph user role with permission to oversee certain aspects of content, users, or libraries, without having full Admin rights.
- Member - Any Mediagraph user. All members have an individual log-in. Members have access to certain content and features based on their role and permissions. Members can range from General Members to more specialized roles like Managers.
- Member Role - see Role
- Metadata - Information about a digital asset, such as the creator, date created, and keywords, which is stored and viewed in Mediagraph to help organize, search, and manage assets.
- Migration - The process of transferring assets, metadata, and other related information from one system to another, especially from a legacy system to Mediagraph. A careful migration is critical when building out your Mediagraph account, ensuring that all assets and metadata are accurately imported.
- My Projects Panel - A hierarchical system of containers (Lightboxes) controlled by each individual user, as illustrated by the personalized avatar in the panel's icon. It can be used as a personal workspace and for collaboration between users.
N
- Named Entity - Specific entities, such as people, events, creators, or products, that are tagged in Mediagraph for better asset organization and retrieval.
- NSFW Detection - An AI powered feature in Mediagraph that automatically detects and flags content that is Not Safe For Work (NSFW), such as explicit or sensitive images, helping to manage and control access to such content.
O
- OCR - A feature in Mediagraph that converts text in images or scanned documents into searchable and editable text, improving the discoverability of text-based content.
- Organization - The company, institution, or entity that owns an account in Mediagraph. Each organization has a unique URL.
- Owner - The user in a Mediagraph organization who has the ability to delete the organization's account in its entirety. Otherwise, the Owner has abilities and permissions identical to those of an admin.
P
- Permissions - Mediagraph defaults to a lack of permission for General Members, and permissions are opened up by staff role and/or group membership. Permissions can also be conferred on an ad hoc basis through Lightboxes. By default, permissions must be granted for access and actions. Our clients find that this is an easier and safer way to manage permissions than having a combination of additive and subtractive permissions per user.
- Person - A type of Named Entity in Mediagraph, referring to individuals who are tagged ub the system, often for the purpose of categorizing assets related to or featuring that individual. Person tags can associate assets with weblinks, a description, a poster image, related content and more. Person tags can be associated with AI-powered Face Tagging.
- Poster Image - An optional banner image that represents a Collection, Lightbox, Tag Tree entity, or your Front Page. It appears at the top of your Workspace or above featured Collections, giving each section a clear visual identity.
- Product - A type of Named Entity in Mediagraph, allowing for description of commercial products. Product tags can associate assets with a GTIN, SKU, free text description, and other information.
- Project - Lightboxes that need to have similar permissions, settings, or requirements can be grouped in a Project. Settings for these Lightboxes can be set on the Project level, rather than on the level of individual Lightboxes. Assets cannot be added to a Project, only Lightboxes.
- Public - Any Mediagraph visitor who is not logged in. The Public can only view files inside Collections with Public permissions attached. Most metadata and Mediagraph functionality is not visible to them.
R
- Rights - The permissions associated with the use and distribution of digital assets in Mediagraph. Rights management involves tracking ownership, licensing terms, usage restrictions, and expiration dates to ensure that assets are used in compliance with their associated legal agreements. Mediagraph allows users to tag and manage rights information to maintain control over asset usage.
- Rights Package - A named entity in Mediagraph consisting of a collection of rights/usage terms which can be applied to any asset. Rights Packages help admins and managers to ensure the correct usage of assets across the platform in compliance with any and all legal requirements. A Rights Package may include details such as licensing agreements, usage limitations, and an expiration date.
- Rights Management: Tools and processes in Mediagraph for managing ownership, licensing and rights associated with digital assets, including tagging creators and creating, embedding and tracking rights packages.
- Reports - Analytical tools in Mediagraph that provide insight into system usage, user activity, and other key metrics.
- Restricted Access - A security setting in Mediagraph that allows Admins and Managers to limit access to certain assets, collections, or features to specific users or groups, ensuring sensitive content is only accessible by authorized users.
- Restricted Member - A user role in Mediagraph with limited access and permissions, typically restricted to viewing specific content and performing a narrow range of actions.
- Role - A set of permissions and access levels, with one assigned to each user within a Mediagraph organization, determining what actions they can perform and what content they can access.
S
- Sandbox - A group-specific collection in Mediagraph that is exclusively accessible to Taggers, Managers, and Admins. The Sandbox serves as a secure and private environment where users with elevated permissions can organize, review, select, and tag assets before they are made available to a broader audience.
- Subcollection - Library Collections can contain Subcollections. The hierarchy of Collections and Subcollections is called the Collection Tree.
- Subfolder - Folders can contain subfolders. The hierarchy of folders and contained subfolders is called the Folder Tree
- Switch To - A feature in Mediagraph that allows admins to switch between their own account and other users’ accounts, different views, or tester accounts, to preview other roles and sets of permissions.

- Tag Organizer - A tool in Mediagraph used to manage and structure the tag taxonomy, helping users maintain an organized and consistent tagging system across the platform. Unlike parent tags, Organizers are not applied as metadata to assets with a tag inside the organizer.
- Tag Tree - Mediagraph's user-facing controlled keyword vocabulary, organized in a hierarchical tree structure for effortless content discovery and management.
- Tag - A metadata item applied to assets in Mediagraph to categorize and describe content, improving searchability and organization.
- Tagger - see Global Tagger
- Taxonomy: A system of categorization in Mediagraph used to classify and organize digital assets based on descriptive or technical keywords, events, people, etc.
- Thumbnail Grid - One of the views available in the Mediagraph Workspace that displays assets as a grid of thumbnails. This grid allows users to quickly browse and select assets, providing a high-level overview of content. The Thumbnail Grid supports pagination of up to 10,000 files at a time, offering unparalleled ease and speed of sorting, scrolling and filtering.
- Transcription - An AI-powered feature in Mediagraph that automatically converts spoken words in video files into written text, making the content searchable and accessible.
- Type-ahead Matching - A feature that predicts and displays search results as the user types in a search bar. Unlike other DAMs, Mediagraph indexes all assets in order to tailor the results of type-ahead matching to each user's permissions.

- Version Control - A feature in Mediagraph that is able to track and store different versions of any asset. This allows users to access previous iterations of an asset, compare changes, and revert to an earlier version if necessary, ensuring that the asset's history is maintained.
W
- Watermarking - The application of a mark on a digital asset during download from, or view in, Mediagraph to indicate copyright or ownership, which helps protect assets from unauthorized use.
- Workflow - Workflows are multi-step processes that can automatically move files from one container to another to accomplish different tasks, including approval and selection. Workflows can be used to standardize and automate frequently used processes.
- Workspace - The primary user interface in Mediagraph where users interact with digital assets, perform searches, and manage content. The Workspace provides access to various tools and features, including asset browsing, tagging, and metadata management. It is the central hub for organizing, viewing, and editing assets in Mediagraph, tailored to each user’s role and permissions.
